10 Best Business Intelligence Tools of 2026

By the KeenVerdict research desk · Updated November 6, 2026 · Next review December 21, 2026 · 10 products scored

Our pickMicrosoft Power BIAnalysts and operations teams in companies that run on Microsoft 365 and want a low published per-user price.9.0

Our verdict

Power BI is the default pick for most lean teams: $14 per user buys report sharing, Power BI Desktop is free to build in, and it fits companies already on Microsoft 365. Zoho Analytics is the best fit for small companies whose data lives in SaaS apps, because it connects to 500+ sources and prepares data without code. Tableau has the deepest visual analysis, Metabase is the low-cost choice for teams with a SQL database, and ThoughtSpot is the one to try if business users want to ask questions in plain language. Sigma and Looker suit companies that already run a cloud data warehouse.

The short answer

Microsoft Power BI is the best business intelligence tool for analysts and operations leaders without a large data team in 2026, at $14 per user per month paid yearly for Pro. Zoho Analytics suits small companies that want no-code data prep and a free plan for two users, and Metabase is the cheapest full option: free to self-host as open source, or $100 per month for its Starter cloud plan with five users included.

This list is for analysts, finance and operations leads, and founders who need dashboards on top of company data but do not have a data engineering team to build and maintain a warehouse model. It covers mainstream BI suites, AI-first search tools, an open-source option and a lightweight dashboard service. We compared documented features and published prices; we did not run hands-on tests. Scores weigh features at 40 percent, ease of use at 30 and value at 30. Several vendors sell only through sales or a credit model, so where a USD price was not published on a page we could check, we mark the price as pending rather than guess.

    Microsoft Power BI

Microsoft's business intelligence service for building reports in Power BI Desktop and sharing dashboards across a company, now part of Microsoft Fabric.

    Price

Free account; Pro $14 per user per month, paid yearly; Premium Per User $24

Quoted from the Microsoft Power BI pricing page on November 6, 2026: Power BI Pro $14.00 user/month, paid yearly

Power BI is the most practical first BI tool for a company without a data team, mainly because of its price and its reach. Microsoft lists Pro at $14 per user per month, paid yearly, and anyone can build reports in the free Power BI Desktop app before paying to share them. Pro covers publishing and collaboration, with a 1 GB model size limit, 8 dataset refreshes a day and 10 GB of storage per licence. Premium Per User, at $24, raises the model limit to 100 GB and refreshes to 48 a day and adds advanced dataflows, datamarts and XMLA endpoint access. Copilot in Microsoft Fabric lets users ask questions in natural language and describe the report they want. The main trade-offs are licensing rules: every viewer of shared content needs a paid licence unless you move to Fabric capacity, and Fabric pricing is variable, so larger rollouts need careful sizing.

    What works

    • +Pro costs $14 per user per month, among the lowest per-seat prices for a full BI suite
    • +Building reports in Power BI Desktop needs no paid licence
    • +Upgrade path to Premium Per User and Fabric capacity without changing tools

    What does not

    • −Sharing reports requires a paid licence for both the author and the viewers
    • −Pro limits models to 1 GB and dataset refreshes to 8 a day
    • −Fabric capacity pricing is a separate, variable model
    Plans
Free account, Pro $14, Premium Per User $24 per user per month, paid yearly

Zoho Analytics is aimed squarely at teams that need to pull data from many business apps and shape it without an engineer. Zoho says it connects to 500+ live sources, including files, business apps, databases and data warehouses, and its drag-and-drop pipeline builder offers 250+ transforms for cleaning and enriching data. Reports and dashboards use 50+ chart types, and the Ask Zia assistant brings six built-in agents that explain results, build dashboards, write SQL and formulas, create pipelines and write Python. Sharing includes fine-grained permissions and row-level security, and the product can embed dashboards in other apps or expose data through an MCP server. A permanent free plan covers 2 users and 10,000 rows, which is enough for a pilot. The catches: paid plan prices load dynamically and we could not confirm them in USD, lower tiers refresh synced data as rarely as once a day, and AI use draws on monthly credits.

    What works

    • +Permanent free plan for 2 users and 10,000 rows
    • +Data prep and pipelines without writing code
    • +Yearly billing saves 20 percent on paid plans

    What does not

    • −USD prices load dynamically and could not be confirmed here
    • −Lower plans refresh synced data less often, from once a day
    • −AI features draw on monthly Zoho LLM credits

Tableau Standard from $15 per user per month, billed annually; Enterprise from $35

Quoted from the Tableau pricing page on November 6, 2026: Tableau Standard A comprehensive edition to help you explore and understand your data. Starting at: $ 15 USD/User/Month (Billed annually)

Tableau remains the reference point for visual data exploration, and it is a strong choice when a few skilled analysts publish dashboards for a wider audience. Tableau lists its Standard edition starting at $15 per user per month, billed annually, and Enterprise from $35. Standard includes browser-based web authoring with governance and collaboration, Tableau Desktop and Prep Builder for authors, and Tableau Pulse for metric updates. Enterprise adds advanced management, data management, 10 sites and eLearning. Pricing is role-based: Creator, Explorer and Viewer licences exist, every deployment needs at least one Creator licence, and the solution requires an annual contract. The starting figure applies to the cheapest licence tier, so budget more for the people who build reports. Tableau Cloud is fully hosted for teams that do not want to manage infrastructure, while Tableau Server suits companies that need to run it themselves. Tableau Agent is reserved for the Cloud+ edition sold through sales.

    What works

    • +Deep visual analysis and dashboard design tools
    • +Standard edition includes Desktop, Prep Builder and Pulse
    • +Choice of hosted cloud or self-managed server

    What does not

    • −Requires an annual contract and at least one Creator licence
    • −The $15 starting price is the lowest licence tier; authors cost more
    • −Agent features sit in higher Cloud+ and Tableau+ bundles sold through sales

    Price

Open Source free to self-host; Starter $100 per month with 5 users, then $6 per user

Quoted from the Metabase pricing page on November 6, 2026: $100 / month $1,080 / year

Metabase is the low-cost route to dashboards for a team that already has a SQL database. The Open Source edition is free with unlimited users, unlimited questions and dashboards, 20+ supported data sources and the option to ask questions with AI on your preferred model, and it includes an MCP server. Users can write SQL or build questions by clicking, which suits mixed teams of analysts and managers. The hosted Starter plan costs $100 per month with the first 5 users included and $6 per extra user per month, and adds two-factor authentication and email or chat support. Pro, at $575 per month with 10 users, adds row and column level permissions, SSO, caching controls, usage auditing and multi-tenant embedding. The limits: self-hosting means running the server yourself, governance features cost noticeably more, and Metabase expects clean data in a database rather than preparing it for you.

    What works

    • +Open Source edition is free with unlimited users
    • +Starter includes 5 users for $100 per month
    • +Click-based questions let non-SQL users explore data

    What does not

    • −Self-hosting means you run and update the server
    • −Row and column permissions and SSO need the $575 Pro plan
    • −Needs a database to connect to; it is not a data pipeline tool

    ThoughtSpot

AI-led analytics platform built around natural-language search, Spotter AI agents and interactive dashboards.

    Price

Essentials from $25 per user per month, billed annually; Pro from $50

Quoted from the ThoughtSpot pricing page on November 6, 2026: Starting as low as $25 per user / per month (billed annually)

ThoughtSpot is built for people who would rather type a question than open a report builder. Its pricing page lists Essentials from $25 per user per month, billed annually, for 5 to 50 users and up to 25 million rows, with interactive dashboards and actionable insights. The AI features that define the product start on Pro, from $50 per user per month: AI-powered dashboards and automated insights, natural-language search and exploration, and Spotter AI agents with 25 queries per user per month, for up to 1,000 users and 250 million rows. Enterprise is custom priced and lifts the user and data caps, with unlimited LLM tokens included. ThoughtSpot also works inside Slack, Google Slides and Salesforce, so answers can reach people where they work. For a lean team, the main issue is that the cheapest plan leaves out search and Spotter, so most buyers who want the signature experience should budget for Pro.

    What works

    • +Published per-user prices for small teams
    • +Search-first design suits users who do not build reports
    • +Free trial available from the pricing page

    What does not

    • −Essentials lacks Spotter agents and natural-language search
    • −Essentials is limited to 5 to 50 users and 25 million rows
    • −Pro caps Spotter at 25 queries per user per month
    Essentials

    Price

Free plan for 1 user; Analyst $71 per month billed annually; Team plans from $199

Quoted from the Databox pricing page on November 6, 2026: Analyst $ 71 /month billed annually

Databox fits teams that mainly need to watch KPIs from cloud tools rather than model data in depth. The free plan covers 1 user, 3 data sources and 50 AI credits a month, with cloud integrations, the Genie AI analyst, performance summaries and a governed semantic layer. Analyst costs $71 per month billed annually for 1 user and 5 data sources, and adds custom data integrations, API access and an MCP server. Team plans start at $199 per month for 3 users and 10 sources, and Scale at $319 covers 10 users and 30 sources. Dashboards come with custom and pre-built metrics, templates, goals and anomaly detection, which help a busy operations lead see what changed without writing queries. Every plan can be trialed for 14 days. The limits are structural: data source caps arrive quickly, and Databox is a metrics and reporting tool rather than a full analysis workbench.

    What works

    • +Free forever plan with 1 user and 3 data sources
    • +Pre-built metrics and templates speed up first dashboards
    • +Annual billing saves 20 percent

    What does not

    • −Plans cap data sources, from 3 on Free to 30 on Team Scale
    • −Analyst plan covers only 1 user
    • −Less suited to deep ad hoc analysis than full BI suites

    Price

Starter from $300 per month for 10 users, billed annually; Standard from $825 per month

Quoted from the Qlik Cloud Analytics pricing page on November 6, 2026: Starting at $300 /mo For 10 Users, billed annually

Qlik Cloud Analytics gives small groups access to an established enterprise BI platform at a published price. Starter costs from $300 per month for 10 users, billed annually, with a fixed 10 GB of data for analysis and a 5 GB maximum app size. It includes AI-powered analytics with Answers Agents, an MCP server, standard connectors for hundreds of sources, interactive dashboards, collaboration, automated report delivery and a no-code automation builder that triggers actions across systems. Standard starts at $825 per month with 25 GB of data and no cost for additional users, adding unstructured data with generative AI, more agents, governed shared spaces and 24x7 support. Premium starts at $2,750 per month for 50 GB. The model rewards companies with many viewers and modest data. The downsides are the hard 10 GB cap on Starter, a steep jump to Standard, and a sales conversation before purchase.

    What works

    • +Starter includes 10 users and 10 GB of data for $300 a month
    • +Standard has no charge for additional users
    • +Free trial available

Sigma is built for companies that have already put their data in a cloud warehouse and want analysts to work on it live, without extracts. It connects to Snowflake, Databricks, ClickHouse, AWS, Azure and Google Cloud, and queries run with the viewer's own warehouse permissions down to the row, so access rules set once carry through to dashboards, AI answers and agents. Users can ask questions in plain language, build workbooks with Python or SQL, and turn analysis into apps and agents that act on data, such as reorder or budget approval tools. Audit logs record who built, changed and asked what, including AI conversations. Sigma also offers pixel-perfect reports and embedded analytics, and says it is used by 2,000+ enterprises. For a company without a data team, the obstacle is the starting point: Sigma assumes a warehouse and governed connections already exist, and it does not publish prices.

    What works

    • +Queries run with each viewer's own warehouse permissions
    • +Audit logs record who built, changed and asked what
    • +Free trial available

    What does not

    • −Needs a cloud data warehouse in place

    Domo

Cloud data platform combining connectors, drag-and-drop ETL, dashboards, apps and AI agents under a consumption credit model.

    Price

Free trial; paid plans on custom, credit-based pricing with unlimited users

Quoted from the Domo pricing page on November 6, 2026: Custom Pricing Only pay for what you use and scale with confidence.

Domo bundles the pieces a small team would otherwise buy separately: connectors and drag-and-drop ETL to bring data in, dashboards, visualizations and embedded analytics to share it, a low-code app builder, and AI agents, chat and workflows to act on it. Its pricing is consumption-based: credits are spent when you store data, update tables, run workflows or use machine learning inference, and Domo says there are no per-user charges, so the whole company can view dashboards. It also says failed processes never trigger charges. A 30-day free trial with full platform access needs no credit card, and companies can buy through cloud marketplaces using existing cloud commitments. For a lean team the appeal is one tool from raw data to dashboard. The drawback is predictability: Domo does not publish dollar prices, so you need to estimate credit use with sales and keep an eye on it as data and automation grow.

    What works

    • +Unlimited users with no per-seat charges
    • +30-day free trial with no credit card
    • +Data integration and BI in one product

    What does not

    • −No published dollar prices; cost depends on credit use
    • −Credit consumption needs monitoring as usage grows
    • −Broad platform takes time to learn fully

    Looker

Google Cloud's BI platform built on the LookML semantic layer, with Gemini-powered conversational analytics and embedded analytics.

    Price

Annual commitment through Google Cloud sales; platform and user licenses priced separately, no published list price

Quoted from the Looker pricing page on November 6, 2026: Annual commitment Call sales Work with sales to identify a solution that works for you.

Looker is the most governed option on this list. Its LookML semantic layer sits above a cloud data warehouse and translates SQL into business metrics defined once, so dashboards, AI agents and custom apps all use the same numbers. Gemini powers Conversational Analytics, letting business users move from a natural-language question to an answer, and Dashboard Agents add AI summaries inside dashboards. Looker also offers MCP integration, APIs and Looker Embedded for customer-facing analytics. Google sells three editions: Standard for organizations with fewer than 50 users, Enterprise with more security features, and Embed for external analytics. Each platform includes 10 Standard Users and 2 Developer Users, and subscriptions run for one, two or three years. For a company without a data team, Looker is a stretch: someone has to write and maintain LookML, and every edition is priced through sales, so the cost is unknown until you talk to Google.

    What works

    • +Metrics defined once and reused by people and AI agents
    • +Standard edition sized for teams under 50 users
    • +Each platform includes 10 Standard Users and 2 Developer Users

    What does not

    • −Every edition is priced through sales
    • −LookML modeling needs a developer to set up

Before you choose

Start from where your data lives

If most of your numbers sit in SaaS apps such as a CRM, ad accounts and accounting software, pick a tool with many ready connectors and built-in data prep, such as Zoho Analytics, Domo or Databox. If you already have a SQL database or a cloud warehouse such as Snowflake or BigQuery, Metabase, Sigma, Looker and ThoughtSpot query it directly and keep the data where it is.

Count builders and viewers separately

Most teams have a few people who build reports and many who only read them. Tableau sells separate Creator, Explorer and Viewer licences, Power BI needs a Pro licence for anyone who shares or views shared reports, Metabase includes five users in Starter and charges $6 per extra user per month, and Domo prices by consumption credits with unlimited users. Model the real headcount before comparing headline prices.

Check data limits and refresh rates

Entry plans cap what you can load and how often it updates. Power BI Pro refreshes datasets 8 times a day with a 1 GB model limit, ThoughtSpot Essentials covers up to 25 million rows, Qlik Starter includes 10 GB of data, and Zoho Analytics plans range from one refresh a day to 24. If dashboards drive daily operations, confirm the refresh rate on the plan you can afford.

Decide how much AI you need

Every tool here now sells natural-language questions or AI agents, but they are packaged differently. ThoughtSpot Pro includes Spotter agents with a monthly query allowance, Databox meters AI credits per plan, Zoho Analytics uses Zoho LLM credits, and Metabase lets you bring your preferred model. Treat AI as a bonus on top of solid dashboards, and check what it costs once the included credits run out.

Plan who will maintain the model

Dashboards are only as good as the metric definitions underneath. Looker's LookML semantic layer and Sigma's warehouse-first approach give strong governance but assume someone owns the data model. Without a data team, favor tools where analysts can define metrics in the interface, such as Power BI, Zoho Analytics or Databox, and keep the first dashboards small.

Questions readers ask

What is the best business intelligence tool for a small team without data engineers?
Microsoft Power BI is our top pick: Pro costs $14 per user per month paid yearly, and reports can be built for free in Power BI Desktop. Zoho Analytics is the best alternative when most data sits in SaaS apps, because it connects to 500+ sources and prepares data without code.
Is there a free business intelligence tool?
Yes. Metabase Open Source is free to self-host with unlimited users, Zoho Analytics has a free plan for 2 users and 10,000 rows, Databox has a free plan for 1 user and 3 data sources, and Power BI offers a free account for building reports in Power BI Desktop. Sharing Power BI reports with others needs a paid licence.
Do I need a data warehouse before buying a BI tool?
Not always. Zoho Analytics, Domo and Databox connect directly to business apps and files, and Power BI can load data from many sources itself. Sigma and Looker are built to sit on top of a cloud warehouse, and Metabase expects a SQL database to query.
How much does Tableau cost compared with Power BI?
Tableau lists its Standard edition from $15 per user per month billed annually, with at least one Creator licence required, and Enterprise from $35. Power BI Pro costs $14 per user per month and Premium Per User $24, both paid yearly.
Which BI tools let users ask questions in plain English?
ThoughtSpot is built around natural-language search and Spotter AI agents on its Pro plan from $50 per user per month. Power BI has Copilot in Microsoft Fabric, Looker has Gemini-powered Conversational Analytics, Zoho Analytics has the Ask Zia assistant, and Metabase can use your preferred AI model.
