9 Best Video Conferencing Software of 2026

By the KeenVerdict research desk · Updated November 6, 2026 · Next review December 21, 2026 · 9 products scored

Our pickZoom WorkplaceTeams that meet with many outside guests and want one tool that scales from calls to large meetings and webinars.8.8

Our verdict

Zoom Workplace is the safest standard for a mixed team: it is easy for guests to join, Pro meetings run up to 30 hours, and the same account grows into larger meetings, webinars and rooms through add-ons and higher plans. Microsoft Teams Essentials is the better buy if your company lives in Outlook and wants 300-person meetings for $4.00 per user per month paid yearly. Google Meet is the natural choice for Google Workspace companies, and Webex is the strongest pick when security reviews and large enterprise meetings matter. Zoho Meeting and Whereby are good lighter options, and Jitsi Meet is the free, open source fallback.

The short answer

Zoom Workplace is the best video conferencing software for teams that want one tool for internal calls, client meetings and webinars in 2026, with Pro at $15.99 per user per month billed monthly. Microsoft Teams Essentials suits small businesses that want meetings for up to 300 people at $4.00 per user per month paid yearly. Jitsi Meet is free and open source, and Zoom, Webex, Whereby and Zoho Meeting all have free plans.

This list is for teams that want to settle on one meeting tool for daily standups, calls with clients and the occasional larger session or webinar. We compared documented features and published prices for 9 products and scored each on features, ease of use and value. Prices are the cheapest paid plan in US dollars as shown on the vendor's own page when we checked it. Where a vendor page would only show us a local currency, the price is marked as pending until we can confirm it in USD.

    Price

Free Basic plan; Pro $15.99 per user per month billed monthly, lower when billed annually

Quoted from the Zoom Workplace pricing page on November 6, 2026: /month/user, billed annually or $15.99 billed monthly

Zoom Workplace remains the meeting tool that the most people already know, which matters when a large share of your calls include clients, candidates or partners. The free Basic plan allows 100 participants for 40 minutes, enough for testing and short external calls. Pro, at $15.99 per user per month billed monthly or less on an annual plan, lifts meetings to 30 hours, adds 10 GB of cloud storage per user and includes unlimited AI meeting summaries and the My Notes note taker. Business raises the cap to 300 participants and adds single sign-on, managed domains and unlimited whiteboards. For bigger audiences, the Large Meeting add-on goes up to 5,000 participants, and Enterprise bundles webinars for 500 attendees, rooms and a full phone system. The catch is that the useful extras stack up as add-ons, so the real cost of standardizing on Zoom for webinars and large town halls is higher than the Pro price suggests.

    What works

    • +Familiar to most clients, so outside guests join without help
    • +One account covers meetings, chat, whiteboards, clips and mail
    • +Clear upgrade path to larger meetings, webinars and rooms

    Price

Included in Google Workspace; Business Starter $8.40 per user per month on the Flexible Plan

Quoted from the Google Meet pricing page on November 6, 2026: $8.40 USD per user for Business Starter

Google Meet is the simplest meeting tool here for guests, because it runs in the browser and a calendar invite is all anyone needs. It comes as part of Google Workspace, so the price buys business email, Calendar, Drive and Docs as well. On the Flexible Plan, Business Starter costs $8.40 per user per month in the US and allows meetings of up to 100 participants. Business Standard raises that to 150 and adds recordings saved to Drive and Studio Sound noise cancellation, Business Plus adds attendance tracking for 500 participants, and Enterprise reaches 1,000 participants with in-domain live streaming. Gemini can summarize, translate and take notes in meetings on supported plans. The limits show when you need more than meetings: webinar registration and branded event pages are thinner than on Zoom or Webex, and recording is not part of the entry plan. For a Google-based company, Meet should be the default before buying anything else.

    What works

    • +Joins from any browser with one link
    • +Comes with Gmail, Calendar, Drive and Docs
    • +Meetings up to 24 hours on paid plans

    What does not

    • −Business Starter cannot save recordings to Drive
    • −Fewer webinar tools than Zoom or Webex

    Microsoft Teams Essentials

Microsoft's standalone Teams plan for meetings, chat and file sharing without the full Microsoft 365 suite.

    Price

$4.00 per user per month paid yearly; one-month free trial

Quoted from the Microsoft Teams Essentials pricing page on November 6, 2026: Microsoft Teams Essentials Affordable, professional meeting solution for small and medium-sized businesses $4.00 user/month, paid yearly

Microsoft Teams Essentials is the cheapest way on this list to give a whole team long, large meetings. For $4.00 per user per month paid yearly, each user can host meetings of up to 30 hours with up to 300 participants, record and transcribe them, and keep 10 GB of cloud storage. Unlimited chat with guest access means client conversations can continue between calls, and calendars connect with either Outlook or Google. Companies that later need Word, Excel and Exchange can move up to Microsoft 365 Business Basic at $7.00 per user per month paid yearly, which also includes Teams. The downsides are weight and scope. The Teams app does a lot and feels busier than Zoom or Whereby for a quick call, and webinar registration or a business phone number requires other Microsoft products such as Teams Phone. For an internal-first team that wants one predictable bill, it is hard to beat.

    What works

    • +Lowest verified paid price on this list
    • +300 participants on the entry plan
    • +Chat, files and meetings in one app

    What does not

    • −Annual commitment for the advertised price

    Webex

    Price

Free plan; Webex Meet $12 per user per month billed annually ($144 per year)

Quoted from the Webex pricing page on November 6, 2026: Webex Meet Buy 5 or more, get 6 months free. $144 /user/year $12 /user/mo

Webex is the strongest enterprise option on this list for teams that want meetings, calling and events from one vendor. The free plan allows unlimited meetings of up to 40 minutes with 100 attendees, plus whiteboards and local recording. Webex Meet, at $144 per user per year, or $12 per user per month, extends meetings to 24 hours with 200 attendees, adds 10 GB of AI-powered cloud recording, an AI Assistant, closed captions and live polling and Q&A by Slido. The Suite plan adds a business phone number and domestic calling, and Enterprise reaches 1,000 attendees with FedRAMP authorized security. Optional add-ons cover call-me audio and real-time translation into over 100 languages. Webex asks more of its users than Zoom or Meet: there are more settings, and the app is aimed at organizations with IT teams. Cisco also offers 6 months free when you buy 5 or more Meet licenses, which helps small teams test it properly.

    What works

    • +Generous free plan with 100 attendees
    • +Polls and Q&A built in for client sessions
    • +Meet + Call bundle adds a business phone number

    What does not

    • −Free meetings end at 40 minutes
    • −Interface has more settings than lighter tools
    • −Real-time translation is a paid add-on

    Price

US price check pending. See the Zoho Meeting pricing page.

Zoho Meeting is a sensible choice for teams that care most about price and do not need a large ecosystem. Its free plan allows up to 100 participants and meetings of up to 60 minutes, longer than the 40-minute limits on Zoom Basic and Webex Free, and it includes screen sharing, a whiteboard and moderator controls. Paid plans are priced per host and by participant tier, from 10 up to 250 participants. Standard adds 5 GB of cloud recording per host, meetings of up to 24 hours, a personal room, polls and remote control. Professional adds breakout rooms, a custom domain, embeddable meeting widgets, API access and recording transcripts. Zoho also sells separate webinar plans and toll-free numbers for more than 55 countries. The trade-off is reach: fewer clients will already have it installed, and integrations outside Zoho are thinner. Its pricing page showed us only euro and pound prices, so the USD figure is pending.

    What works

    • +Free plan allows longer meetings than Zoom or Webex Free
    • +Pricing scales by participant tier, so small hosts pay less
    • +Works alongside Zoho CRM and other Zoho apps

    What does not

    • −Breakout rooms need the Professional plan
    • −Fewer third-party integrations than Zoom or Teams
    • −USD price could not be confirmed from our location

    GoTo Meeting

    7.8

    Price

Professional $12 per organizer per month billed annually, $14 billed monthly

Quoted from the GoTo Meeting pricing page on November 6, 2026: Professional $14 $12 /organizer /month, billed annually

GoTo Meeting suits companies where a small group of people run most meetings, because it is priced per organizer and attendees join free. The Professional plan allows 150 participants and Business allows 250. Both plans now include unlimited cloud recording, transcription, AI meeting summaries, breakout rooms, polls and closed captioning, along with dial-in conference lines and keyboard and mouse sharing. Audio is a strength: toll-free numbers, call me dial out and an enhanced audio add-on help when attendees are on the road. GoTo lists HIPAA compliance, AES-256 encryption and SOC2 certified data centers. On the downside, there is no permanent free plan, the participant ceiling stops at 250, and webinars require GoTo Webinar or an add-on. At $12 per organizer per month billed annually, or $14 monthly, it costs less than Zoom Pro for each host.

    What works

    • +Priced per organizer, not per attendee
    • +Strong audio options for people who dial in
    • +HIPAA compliant with SOC2 certified data centers

    What does not

    • −No permanent free plan
    • −Caps out at 250 participants
    • −Webinars need GoTo Webinar or the GoTo Suite add-on

    Jitsi Meet

A free, open source video meeting app you can use on meet.jit.si or host on your own server.

    Price

Free and open source; no paid plan

Quoted from the Jitsi Meet pricing page on November 6, 2026: Jitsi Meet is a fully encrypted, 100% open source video conferencing solution that you can use all day, every day, for free

Jitsi Meet is the free option on this list, and it is free in a stronger sense than a trial or a capped plan. The project describes it as fully encrypted and 100% open source, usable all day, every day, at no cost and with no account needed. Anyone can start a call on meet.jit.si and share a link, with desktop and presentation sharing, and IT teams can download the server and run their own installation, which keeps meeting traffic on infrastructure they control. That makes it a reasonable standard for budget-limited groups, privacy-focused teams and organizations that already run their own servers. The costs are elsewhere. There is no vendor support behind the free service, self-hosting means patching and scaling it yourself, and features that paid tools now include, such as AI summaries, webinar registration and phone numbers, are not part of the core app. For client-facing work, most teams will want a paid tool alongside it.

    What works

    • +Completely free with no sign-up
    • +Self-hosting keeps meeting data on your own servers
    • +Open source code anyone can inspect

    What does not

    • −No vendor support or service agreement on the free service
    • −Self-hosting needs server skills and upkeep
    • −No built-in webinar, phone or AI note features

    Price

Free plan; Pro $10.99 per month for 1 host; Business $13.99 per host per month, minimum 3 hosts

Quoted from the Whereby pricing page on November 6, 2026: Pro For professional individuals $10.99 per month 1 host

Whereby is built around a simple idea: each host gets permanent room links that anyone can open in a browser, with no download and no meeting IDs. That makes it a good fit for consultants, coaches and small agencies whose calls are mostly with clients. The free plan is a taster with one room, 4 attendees and 30-minute meetings. Pro costs $10.99 per month for one host and adds 3 room URLs, 100 attendees, no time limit, custom branding and unlimited recording. Business costs $13.99 per host per month with a minimum of 3 hosts and adds unlimited rooms, 200 attendees, shared and flex rooms and a custom subdomain. Integrations with Miro, Google Docs and Trello let people work together inside the call. What you give up is breadth. There is no chat workspace, no phone system and no webinar product, so larger companies will outgrow it as a single standard.

    What works

    • +The simplest joining experience on this list
    • +Branded rooms look professional to clients
    • +Prices shown in USD, excluding VAT

    What does not

    • −Free plan allows only 4 attendees and 30 minutes

    Price

Core from $20 per user per month paid annually, $30 paid monthly

Quoted from the RingCentral RingEX pricing page on November 6, 2026: Core Unify calls, meetings, and chat in an all-in-one, professional app. $20 Price when paid monthly: $30 /user/month

RingCentral RingEX is a business phone system first, and its meetings come bundled in. That is the reason to choose it: one app handles calls, team chat and video, and one bill covers them. The Core plan costs $20 per user per month paid annually, or $30 paid monthly, and includes unlimited domestic calling, on-demand call recording, 100 toll-free minutes and HD meetings for 300 participants. Advanced adds CRM integrations and multi-site support, and Ultra adds RingCentral Webinar, unlimited storage and 10,000 toll-free minutes. The AI Virtual Assistant is included on every plan. For a team that only needs meetings, this is the most expensive way to get them on this list, and the admin console is built for phone systems, which adds setup work. If you are replacing an office phone system anyway, though, folding meetings into the same contract can cost less than paying for two vendors.

    What works

    • +Phone, chat and meetings in one app and one bill
    • +300-person meetings on the entry plan
    • +Webinars included on the Ultra plan

    What does not

    • −Most expensive entry price on this list
    • −Paying for a phone system you may not need

Before you choose

Start with the suite you already pay for

If your company already pays for Microsoft 365 or Google Workspace, Teams or Meet is included and works with the calendar and files you use every day. Adding a second meeting tool only makes sense when it fixes a clear gap, such as webinars, larger audiences or a smoother experience for outside guests.

Check participant caps and meeting length on the plan you will buy

Free plans set strict limits: Zoom Basic stops group meetings at 40 minutes, Webex Free at 40 minutes, Zoho Meeting Free at 60 minutes and Whereby Free at 30 minutes with 4 attendees. Paid plans differ too, from 100 participants on Zoom Pro and Google Workspace Business Starter to 300 on Teams Essentials and Zoom Business.

Plan for client meetings and webinars separately

Client calls need easy joining from a browser, custom branding and a waiting room. Webinars need registration, Q&A and higher attendee caps, which are often a separate product or add-on, such as Zoom's webinar features on Enterprise or RingCentral Webinar on the RingEX Ultra plan. Price the webinar piece before you standardize.

Look at recording, transcripts and AI notes

Cloud recording and AI summaries are where plans split. Google Workspace Business Starter does not save meeting recordings to Drive, while Business Standard does. Webex Meet includes 10 GB of cloud recording and an AI Assistant, and GoTo Meeting lists unlimited cloud recording and AI meeting summaries on its paid plans.

Jitsi Meet is free with no account and no paid tier. Among commercial tools, Zoho Meeting Free allows 60-minute meetings with 100 participants, while Zoom Basic and Webex Free stop group meetings at 40 minutes.
Is Google Meet or Microsoft Teams better for meetings?
Pick the one that matches your email and documents. Google Meet runs in the browser and comes with Google Workspace from $8.40 per user per month on the Flexible Plan, while Teams Essentials offers 300-person, 30-hour meetings for $4.00 per user per month paid yearly.
