Meeting Statistics 2026

This page covers the numbers behind meeting, video and AI note-taking tools: how much time meetings take, why they fail, the friction of video and hybrid meetings, how AI assistants change the picture and which fixes cut meeting load. Most figures describe 2025 and 2026, from Microsoft telemetry, Owl Labs, the Bureau of Labor Statistics, the Census Bureau and company filings. Atlassian's 2024 survey and a few studies from 2017 to 2023 are kept where no newer equivalent exists, and their years are stated.

The short answer

Microsoft telemetry from 2025 shows half of Teams meetings fall in prime focus hours and 57% are ad hoc calls with no invite. Owl Labs found 38% of US workers experience meeting fatigue in 2026, and Atlassian's 2024 survey of 5,000 workers rated meetings ineffective 72% of the time. AI note-takers are spreading fast: 82% of US workers use or are trying AI at work, per Owl Labs.

Our reading of the data

Meetings grew sharply after 2020 and stayed high. Microsoft reported Teams users in three times as many meetings and calls per week in 2023 as in February 2020, and its 2025 telemetry shows meetings packed into prime focus hours, meetings after 8 pm up 16% in a year and employees interrupted every 2 minutes. The default calendar is overbooked, and any tool that adds meetings rather than removing them makes the problem worse.

Quality is a bigger problem than quantity. Atlassian's 2024 survey found meetings ineffective 72% of the time, 78% of workers saying meeting load stops them doing their work and 54% leaving without clear next steps. Owl Labs found 38% of US workers reporting meeting fatigue in 2026, with long meetings the top cause. Agendas help, according to 79% of Atlassian's respondents, and they cost nothing.

The platform market is mature. Zoom grew revenue 4.9% to $1,277.2 million in the quarter ended July 2026 and still loses 2.9% of online customers a month, while Microsoft 365 commercial seats grew 6% in fiscal 2026. Owl Labs found US workers lose about six minutes getting each hybrid meeting started. With 35% of US workers doing some work at home on workdays in 2025, per BLS, room setup and audio matter as much as the platform.

AI note-takers are the category's most useful addition. Microsoft's controlled study found Copilot users caught up on a missed meeting 3.8 times faster, Otter.ai reported over 1 billion meetings processed, and the Census Bureau found 31% of US workers using AI to summarize or interpret information in 2026. The biggest reported reductions still come from policy: in an MIT Sloan Management Review study, companies that set two no-meeting days a week cut meetings by 40%.

How these figures were chosen

We selected figures that help buyers judge meeting, video and AI note-taking tools, citing the organization that collected each one. Microsoft figures come from its own Microsoft 365 telemetry and surveys, so they reflect its user base. Owl Labs surveys US full-time workers and sells meeting room cameras; Atlassian's 2024 survey covers 5,000 knowledge workers; Otter.ai's figures are company-reported. Official data comes from the Bureau of Labor Statistics American Time Use Survey and the Census Bureau, and Zoom and Microsoft financial metrics from SEC filings. Older studies, including Harvard Business Review (2017), NBER (2020), Pew Research Center and Stanford (2021) and MIT Sloan Management Review (2022), are kept and dated because they remain the main published evidence on meeting time, fatigue and no-meeting days.
